How to send records to RefWorks from the Lincoln Repository

This is how to export records from the University Repository to your RefWorks account:

  • Go to the Repository at: http://eprints.lincoln.ac.uk/
  • Run your search on the Repository, and from the list of search results choose the ‘Export … results as’ option for ‘RefWorks’.
  • Click on ’Export’ – this gives you a file which you can save to your own computer.
  • Go to your RefWorks account, and from the ‘References’ menu, select ‘Import’.
  • Browse for the file that you’ve just saved on your computer.
  • You will need to check a couple of options toward the top of the screen:
    • ‘Import Filter/Data Source’ must be set to ‘RefWorks Tagged Format’;
    • ‘Database’ must be set to ‘Tagged Format’.
  • Click on ‘Import’. RefWorks will add the Repository records to your RefWorks account.

Opening Write-N-Cite on the University desktop


This is how to get started with using Write-N-Cite on the University desktop (when using an on-campus computer at the University of Lincoln):

  • Go to the ‘Start’ menu, and then ‘All Programs’.
  • Look for a folder called ‘Research Software’. Within that folder, you should see the icon to launch Write-N-Cite.
  • You should notice that when Write-N-Cite launches, it also starts up Microsoft Word in the background.
  • The first thing you need to do is log in to Write-N-Cite. To do this, click on the ‘Athens users’ link, and then on: ‘Go to the University of Lincoln login page’.
  • After a couple of seconds, you should see – within Write-N-Cite – a cut-down version of your RefWorks account.
  • Next: in the top-left-hand corner of Write-N-Cite, tick the ‘Always on top’ tick box, it’ll mean that Write-N-Cite doesn’t disappear into the background when you start working on Microsoft Word.
  • Now, all you need to do is create a new document in Word; save it to your H: drive.
  • Now you’re ready to start using Write-N-Cite to create a formatted bibliography within a Microsoft Word document.

Creating folders to organise your references – easy!


Here’s how easy it is to create folders in RefWorks to organise your references.

  • Go to the ‘Folders’ menu and select the first option down: ‘Create New Folder’.
  • Give your folder a  name and hit ‘OK”.
  • Then, to add references to that folder, select the reference(s) that you want to add by using the little tick box(es) on the left-hand side – and then, from the drop-down menu near the top of the screen, select the name of the folder you want to put them in.
  • RefWorks will ask ‘Are you sure?’ – hit ‘OK’.
  • Your chosen reference(s) will now be in the folder you selected.

An easy way to export citations from Google Scholar into RefWorks


Here’s a way to export results from the Google Scholar search engine, into your RefWorks account:

  • You can access Google Scholar from the main Google home page (www.google.com) by going to the top of the Google screen and clicking on ‘more’, then selecting ‘Scholar’, which is the third option down.
  • Then, to the right of the Google Scholar search box, click on the link to ‘Scholar Preferences’.
  • Scroll to the bottom of the ‘Preferences’ screen, where from the ‘Bibliography Manager’ option you can choose to ‘Show links to import citations into RefWorks’.
  • Then click on ‘Save Preferences’.
  • Now, when you perform a search on Google Scholar, you will be able to see that each one of the search results has a link next to it marked ‘Import into RefWorks’.
  • If you click on one of those links it will export that citation into your RefWorks account.
  • The difference between this and some of the other database export options is that, unfortunately, with Google Scholar you can only export one result at a time.

Exporting records from ScienceDirect into RefWorks


This is how to select bibliographic records (e.g. for journal articles) within the ScienceDirect database, and export them to your RefWorks account.

  • Perform your search within ScienceDirect.
  • Select the record(s) you want to export, by ticking the boxes next to the bibliographic details for each reference.
  • Then: in the middle of the ScienceDirect screen, click on the ‘Export Citations’ button.
  • From the ‘Export Format’ menu, select the second option down: ‘RefWorks Direct Export’.
  • You can also choose to export either: ‘Citations Only’, or ’Citations and Abstracts’, for each reference.
  • Then click on the ‘Export’ button.
  • When the RefWorks login sceen appears, click on ‘Athens users’ - then ‘Go to the University of Lincoln login page’.
  • It’ll take a few seconds for RefWorks to import the bibliographic details for each reference.
  • When RefWorks displays ‘Import Completed’ you will be able to view the ScienceDirect references which are now in your RefWorks account.

Adding books from the University of Lincoln library catalogue

This is how to search the University’s own library catalogue from within RefWorks, and how to select book records from the search results then add them to your RefWorks account:

  • In RefWorks, go to the ‘Search’ menu and select ‘Online Catalog or Database’.
  • Go to the long list of catalogues marked ‘Online Catalog or Database to Search’, and pick the ‘University of Lincoln Library Catalogue’ from near the top of the list.
  • Enter your search term(s) in the ‘Quick Search’ box and hit ‘Search’.
  • A new window will appear. RefWorks will display the details of any books in the catalogue which match your search terms. This can take quite a while, even for only a few references, so it’s a good idea to be as specific as possible in your search.
  • Next, select the book(s) that you are interested in (by ticking the ‘Ref ID’ box next to each record) and hit the ‘Import’ button.
  • RefWorks will ask “Are you sure…?” – select ‘OK’.
  • Back in the main window, RefWorks will tell you when it has imported your book reference(s), and how many references it has imported. Click on the ’View Last Imported Folder’ button, and you will see the books(s) that you have imported into your RefWorks account.
